Update Guidelines
As our business grows we find that it periodically becomes necessary to adapt various elements of our services. This is not only to accommodate a growing client base, but to ensure that all of our clients continue to receive service with the quality, precision, and speed upon which they have come to rely. We understand the importance of a strong web presence and will always endeavor to meet the high standards of our clients’ web service needs. In an effort to provide the most accurate and prompt service, we have generated some guidelines for update submissions. We in no way intend to diminish the personalized level of service our clients have come to expect and appreciate, but rather we wish to maintain the high level of efficiency we know our busy clients value. We hope you are pleased to know that these guidelines are the first step in a long-term effort to make maintaining your website as quick and convenient as possible. Below you will find a full list of guidelines, links to helpful update tools as well as an example email.
Guidelines:
•Send update related emails to updates@arabhorse.com only.
•With the exception of time-sensitive issues, consolidate updates that develop over the course of a week or day and send them all at once. This is particularly helpful for changes pertaining to the same page (sales, mares, etc.).
• Place the domain name (yourdomain.com) to which the update should be applied in the subject line. No other text is necessary in the subject line. Please do not abbreviate or use an acronym. There are instances when anything other than the exact address risks confusion with another website. Include the domain name for forwarded messages and files as well. Please send updates for different domains (www.yourdomain.com vs. www.yourfriendsdomain.com) in independent emails.
• Be clear about the page you’d like changed. For the greatest accuracy, copy and paste the exact web address above a description of the changes, for example:
(http://www.yourdomain.com/sales/index.html).
• Please clearly differentiate between text that is intended to appear online and instructions for us. It is particularly helpful to avoid including instructions within text intended to appear online. Also be sure to phrase instructions so as to minimize opportunity for misinterpretation.
• Remind third parties who may submit materials and/or updates on behalf of your domain to provide the same identifying information described here. An email form a third party with little or no indication of the material’s intended use can delay the update.
• If the information to be added will appear as a table (show results, schedules, etc.) create the original text that you send in a table. Excel is ideal, but Word works great too. Generally if text needs more than one space (spacebar) in a row, it would probably be best suited to a table. This will ensure that these kinds of updates are made as quickly as possible. (We will apply matching formatting when we receive the update; each item simply needs to be in a separate cell of the table.) • If you have received a confirmation email but you are not yet seeing the changes, press F5 to refresh your web browser with the most recent version of the page. This may be necessary for each updated page, particularly if you have visited that page recently. In some rare cases it may be necessary to "delete temporary internet files" to force the browser to see the new pages.
• Use descriptive file names whenever possible, particularly with multiple images of the same horse. For example “horsename01.jpg and horsename02.jpg” rather than “partialhorsename8302.jpg and randomcharacters.jpg” Avoid using spaces in any type of file name.
• Do not send proof photos or any copyrighted material for which you do not have permission.
• Submit videos as .wmv files under 20MB. Emailed videos require a $15 charge to your account, and videos mailed on DVD will be subject to a $35 charge. As with any update, please include detailed identification and instructions with any mailed photos or videos. If you would like the materials returned, include a self-addressed envelope and appropriate postage.
• Avoid partial or abbreviated horse names and confirm the correct spelling of unusually named horses. This is particularly important when dealing with pedigree updates.
• Follow-up emails related to recent updates (additional images, for example) should include the same identifying information. Updates to other sites will likely have been performed since the original email and reminder notes will help to quickly execute the follow-up changes. For example, “Here are the remaining images for the mares section of the sales page” rather than “Here’s more pictures” will help to keep follow-up changes prompt.

• Be aware that original content materials are not saved. Any material that is removed from your website must be resent if is it to be added again as a future update.
• Monthly website hosting fees cover only basic image and text. Additional design fees may apply for other changes.
